Overview: the long-term absences (LTA) feature allows managers to mark learners as absent for a long period of time even if they are still active on payroll, for example, if a learner is on long-term sick leave, maternity leave or furlough. This is important to keep your training records accurate and up-to-date.
Start from: the Flow MS dashboard.
  • Select Company > Learners.
  • Find the learner you wish to mark as long-term absent.
  • Select Edit on the learner Overview page.
  • Scroll down to the Long Term Absence section and switch the toggle button on.
  • Select the type of absence from the Absence Type dropdown list that appears.
  • Select Save when you finish editing the learner’s information.

Removing learner LTA status

From the Company > Learners screen you can filter by LTA status, making it easier to remove the tags from individual learners. 

  • Use the Filter button to bring up the Filter Results panel.
  • Choose the Long term absence learners filter option and Apply filters.
  • The list of learners will now display only LTA flagged records.
  • Open each individual learner and use the Long Term Absentee toggle to reset their status.

Long-term absences and due dates

When a learner is marked as LTA, any due dates they have in the future are removed to prevent them from going overdue. Anything already overdue is kept that way. The learners are then excluded from reports and will not receive emails from the system.

When a learner is unmarked as LTA, any items on their training path have their due dates recalculated as per their training structure. This will not happen for any items that were already overdue prior to them being marked as LTA.
