Overview: The training calendar allows you to schedule all your classroom or online training sessions that are happening across your business. This process describes how you create a new training session that will appear on the calendar.
 
Start from: the Flow Learning dashboard.
  • Select Learning & Development > Training Calendar on the main menu.
  • Select the the  icon in the top right.

  • Select the relevant External Training record from the dropdown list.
  • Enable Online session if the session is held in an online environment (via Zoom, Microsoft Teams, Google Meet etc.)
  • If the session is online, a new field will pop up. Add the relevant Online session link (Zoom / Microsoft Teams / Google Meet link etc.). Trainees will see the link on Mapal One so they can join directly.
  • Populate the Start date & end date fields with details regarding the time of the training session.

Note: this field is set to UK time - if you are entering a session in another time zone, please convert to UK time before entering in the system. 

  • Populate the Max attendees field with the maximum number of attendees who can participate in the training session.
  • Add the Minimum attendees to show the minimum no. of attendees you will need for the session to move ahead.
  • Select Training type from the dropdown, either Public or Private. 
  • Add your Session administrator, (usually a training manager who has the relevant training calendar permissions enabled).
  • Choose whether to Include in read only - this is a permission that you can give to training managers so they can see the calendar without the ability to edit.
  • Select the relevant learners who are supposed to receive the training calendar invites, using the options Areas, Regions, Branches, Departments, and Job Titles.
  • Choose whether to Send email reminders to learners.
  • Select from the Training frequency dropdown.
  • Use the Attachments uploader to attach any relevant files for the training session (e.g handbooks).
  • Add any relevant Notes in the text field.
  • Select the Send button when you're ready.

Note: training sessions can be either Public or Private. Public sessions are open to all learners, who will be able to see the sessions posted in their training calendar. Private sessions incur invitations being sent to certain individuals. Learners who are not invited will not be able to see these session within their training calendar. Learners can confirm whether they will attend / decline attendance.
