Overview: Employee agreements gather a set of working conditions for a group of workers, which include all information related to work schedules, restrictions, and vacations. This information will later be reflected in shift and vacation planning.

Start from: The Workforce module.

  • Select Configuration > Collective Agreements from the main menu.


Create a Collective Agreement

  • Select the Collective Agreements tab.

  • Select New to create an agreement.

On the resulting popup window, you can see a summary of the agreement's name, the number of annual vacation days, the manager's planning limit, and the number of configured alerts.

  • Define a name for the new agreement.

  • In Breaks, you can set a break in minutes over a number of worked hours. This must be previously configured.

  • In Accrued Vacations, define:

    • The maximum vacation days for this agreement.

    • The possibility of this number varying based on seniority.

    • The possibility of deducting some absenteeism incidents from vacation entitlement, such as temporary layoffs, leave of absence, or suspension.

  • In Taken Vacations, define:

    • How vacations are counted (business or calendar days).

    • The limit of days the employee can choose as vacation days.

  • In Termination Prior Notice, define the notice days for the employee, the company, and the duration in days of the probationary period for the new contract.

  • In Shift Scheduling Alerts, these can be mandatory or not. If an alert is mandatory and not met, printing or finishing a shift will not be allowed. Define, for example:

    • The employee's weekly rest days.

    • The maximum daily or weekly hours an employee can work.

    • The minimum rest hours between working days.

    • The minimum and maximum hours a shift should last.

    • The minimum hours a split shift should have.

    • The minimum and maximum hours between split shifts.

  • Select Accept to save changes OR Cancel to dismiss them.


Apply Collective Agreement

Once the agreement is created, it needs to be applied to the desired centers, and this can be done in two ways:

1. Collective Agreements by Date

  • Select the Collective Agreements by Date tab.

  • Choose the date from which the agreement will be applied.

  • Select the agreement to apply.

  • Choose the centers where the agreement will be applied.

  • Select Apply.

Note: When selecting a date in this tab, you will see the agreements applied on that date, not if any agreements are currently applied. For example, if you apply an agreement on January 1st and select April 1st, the Agreement column will appear as undefined because, even though you applied an agreement four months ago, none has been applied on April 1st.

2. Collective Agreements per Unit

  • Select the Collective Agreements per Unit tab.

  • Choose the business unit to review from the dropdown.

  • You will see a list of dates when an agreement was applied. To apply another agreement, select New.
