Overview: Occasionally you may discover more than one account for the same learner on the Flow Learners Platform. You can merge their completed training records to a new account within the same platform.
Note: This function can only be accessed by Flow Account Managers.
Start from: The Flow Learning Dashboard.
- Select Company > Learners to open the Learners page.
Scroll through the list to find a learner OR select Search and enter the name of the learner(s) OR select Filter to filter the list using any of the available options.
Note: You will see a dot by the icon to indicate a filter is in place.
You can also use the quick function to search:
- Select Company > Learners.
- Enter the learners name in Search for a Learner
Once you have located the two learner accounts you wish to merge, open both profiles:
Select the profile without an External Id.
Note: You will see a notification on this profile that the email address is used by multiple learners.
Copy the External Id from the other profile (the one that already has the External Id).
Select Merge Learners.
In the Enter Identifier pop up:
Enter the External Id into the Identifier text box.
Select Next.
Check the two learner records side by side to ensure the correct information is being merged.
Select Confirm.
A message will confirm that the learner details have been merged successfully and the profile will now be updated.
Frequently asked questions
What are the main reasons to merge learners?
- Reinstating learners who have previously worked for the company.
- A manual profile was created first, then another profile is automatically added from the company Payroll System.
- Spelling mistakes (when a new profile has been added with the correct name).
Can you merge two profiles that have an External Id?
Yes, you can do it but bear in mind that it can take up to 24 hours for the information to be updated. This will update after the next feed run.
What happens if both profiles have completed training?
We can only hold one set of passed training on a profile, if the learner has completed different training on one, then they will have to re-do this training after the merge.
What if I cannot see the merge button or the learners do not have External IDs?
If your platform does not display the merge icon, or if it does but the learners lack External IDs, please contact help@mapal-os.com for assistance. The support team will merge the learner profiles for you.
