Overview: GIR allows users to perform a variety of actions to optimize shift management. Users can print already configured shifts, assign specific shifts to employees, and swap shifts between employees.
Start from: The Workforce module.
Select Scheduling > Weekly ROTAs from the main menu.
Select the Work Center where the shift you wish to edit or print is located.
Select the Arrow icon to view shift details.
Note: If the arrow icon is blue, it means that there is already data saved in that week.
Assign shifts
At the time of shift creation, some templates or shifts will show generic workers in the Worker list. These generic workers can be exchanged for real workers when assigning the shift.
On the Projected Shift screen, look for the generic worker in the Employee list.
Click on the generic worker to display the menu.
Select the Assign to... option from the menu.
In the Assign Position to Worker pop-up window, choose an actual employee from the drop-down menu.
Select Accept to save the selection OR Cancel to discard it.
Once the worker is assigned, on the Projected Shift screen select Save to keep the changes OR Cancel to discard them.
Notes: To definitively save the shift and finish working on it, you must select Complete Pending free days automatically and Shift Completed in the Save pop-up window.
Swap shifts
During shift creation, the specific position of an employee in the shift table is not rigid and can be exchanged with another employee to optimize the management of time worked.
In the Projected Shift screen, find the worker whose shift you want to swap in the Employee list.
Select the chosen worker to display the menu.
Select the Shift Swap option from the menu.
In the Shift Swap pop-up window, choose an employee from the drop-down menu.
Select the days on which you want to change the employees' shifts. It can be a single day of the week or several, as needed.
Select Accept to save the selection OR Cancel to discard it.
When you press Accept, a new confirmation pop-up window will appear. Select Accept to continue with the process OR Cancel to discard the Shift Swap.
Once the shift has been swapped, on the Projected Shift screen select Save to keep the changes OR Cancel to discard them.
Notes: To definitively save the shift and finish working on it, you must select Complete Pending free days automatically and Shift Completed in the Save pop-up window.
Print shift
Once the configuration of a shift is completed, it can be printed to keep a physical visual of the weekly shift, which is very useful for administrative and operational tasks.
On the Projected Shift screen, select the Printer icon.
Notes: You can only print a shift that has been saved and marked as Completed.
In the Reports pop-up window, select one of the print options. You can print:
Projected Shift by performed Workstations (Period)
Projected Shift by enabled workstations (Period)
Projected Shift by Contract Group
Weekly Shift
Overview by Employee
Employee Shift
Hours per Worker (Additional Information)
Hours per Worker (with signature)
Staff by Time Period
Shifts per Employee (individualized)
Daily Report
Projected complementary Hours
Hours per Worker (with variations)
Notes: Depending on the selected report, you will be able to check other on-screen display options before generating the printout.
Select how you want to view the report. You can view it on Screen, PDF, and, in some cases, Excel.
