Overview: When you create a task in a form or in a checklist, you have the option to use a dropdown to hold a defined set of answers. You can also use a dropdown for options in a deviation (e.g., the record of a fridge temperature). You can create lists to suit the needs of your business.

A dropdown list is an option in any task. You can reach the Answer options screen in several ways:

  • Forms > Create form > Create task when you create a new form.

  • Areas/checklists > Create task when you create a new task in an area or a new checklist.

  • Forms > Select your form > Open > Edit.

  • Areas/checklists > Edit

 

Setting up a new dropdown list

Once you have opened the Create Task screen:

  • Scroll down to Answer options.

  • Select Dropdown in the dropdown list underneath Answer Type. This activates a list of dropdown-specific options.

  • Use Add options list to open the Select Dropdown List window.

  • From there, select New List.

  • Highlight the New List title in the text box at the top and replace it with your chosen list title.

  • Under Dropdown Items, add your first item to the list. 

  • Select Add Option to add a further options box. You can add as many options as you require.

  • Use the Free text allowed toggle if you want to include a free text field below the set options. 

Setting language options

  • Switch the Multi-language toggle on to provide translated versions of the dropdown - these will appear depending on the user's language settings.

  • Find the Translations tab and select the flag icon to choose from the list of languages available.

  • You'll see a grid showing the original and translation for each of the items on the dropdown. Fill in the translation for every localised item. 

 

Completing the dropdown

  • Use the Save button when you have completed all the fields for settings and localisations.

  • You can now continue editing the task from the New Task workflow.

Your task now includes an answer option dropdown list. Your users will be able to access the list when they are completing the form and/or recording a deviation where you have selected his list as an option.
