Overview: Workforce allows managers to assign specific roles to different employee profiles. In the case of shift managers, they are allowed or restricted access to specific functionalities of the scheduler to facilitate and secure overall shift management.
Start from: The Workforce module.
Navigate to Configuration > Roles.
On the Roles screen, use the Magnifying Glass ⌕ icon or Filter to locate a particular role, menu, submenu, or action. This way, you will be able to find the role and the functionalities to be activated more easily.
To go specifically to the scheduler functionalities, filter by Menu: Scheduling and Submenu: Scheduler 2.0 and/or Other Permissions.

The roles that are available to determine the access and its degree are:
Access (read only) - allows the user to access only in consultation mode, not being able to plan shifts or work with the rest of the options with impact on the planning (create favorites, copy shifts, etc...). - TBD
- Access - allows the user to access and work with the scheduler apart from shift status management, create generic positions, and configure favorites and sequences.
- Action: Complete shifts - Allows the user to change shift status from Ongoing to Completed and vice-versa
- Action: Revise shifts - Allows the user to change shift states from Ongoing to completed or revised and vice versa.
- Action: Close shifts - Allows the user to change shift states from Ongoing to Completed or Reviewed or Closed on demand.
- Manage Favourites and Sequence - Allows the user to access the favorites and sequence options for configuration.
- Create Generic Positions - Allows the user to access the Create Generic Positions option.
- Cluster Administration - Allows the user to access the option to configure clusters.
- Employee groups Administration - Allows the user to access the option of creating labels and assigning them to employees.
Also to make use of the Scheduling forecast from the new scheduler this action has to be activated:
- Edit past date in scheduling forecast - allows to work with the scheduling forecast from the new scheduler. (*) You must have access to the scheduling sales budget from analytics as well.
Notes: The list of roles may expand as more functionality is added, so we recommend reviewing this information periodically. In addition to roles directly related to the scheduler, there are other actions required for specific functionalities, such as Ideal Staff and Reports within the scheduler.
