Overview: as a restaurant manager, you'd like to enter the actual physical inventory quantities into Easilys so that your stock can be updated. This guide takes you through the process.
Start from: the Easilys menu.
Before completing an inventory, it must be created. To find out more about creating an inventory, see Create an inventory.
- Select the Stock > inventories BETA tabs.
- Select the desired inventory line. To complete an inventory, it must be in In Progress status. Use the filters on the left to find the inventory you want to complete.
The list of products present in the inventory is displayed, including products in non-zero stock at the previous inventory and products that have been entered or withdrawn since then. Depending on the configuration option chosen for your site, the theoretical quantity may or may not be shown.
Note: Products are organised alphabetically within storage areas. This corresponds to the organisation of your products in the Stock screen.
1. CHANGE IN QUANTITIES
Case 1: Your site has no counting zone:
For each line :
- If the quantity is the same as the physical quantity, tick the verification symbol .
- If the quantity is different from that physically found, change the value in the "Quantity inventoried" box, and the verification symbol will automatically be checked to indicate that verification has been carried out on this product.
Note: the global scoring feature can save you time if you want to indicate at once that all products have been checked and no corrections are required.
2nd case: Your site has counting zones (option in site settings).
If your site has the right to define counting zones, this allows you to indicate that the same product has been counted in two different places. For example, your "Pure orange juice 1L brand JUTOS" is attached to the DRINK storage area, but you have counted 3L in reserve and 1L at the bar. By defining BAR and RESERVE counting zones, you can specify during the inventory where quantities have been recorded.
For this type of entry :
- Select "New count" on the relevant product line.
- Specify the counting zone in the panel.
- Indicate the quantity found.
- Select Validate.
2. MODIFICATION OF THE STORAGE AREA
If you notice that a product appears in an incorrect storage area, you can change it:
- Select the 3 small dots at the end of the product line.
- Select Change of storage area.
- Modify the storage area.
- Select Save.
3. ADDING A PRODUCT TO THE INVENTORY
If required, you can add a product to the inventory:
- Select + Product.
- Select Supplier product or Finished product, depending on what you want to add.
- Search for the product.
- Select the desired product.
- Enter the quantity counted and, if necessary, the storage PU.
- Select Validate.
4. CLOSING THE INVENTORY
- Once the inventory has been entered, close it by selecting Finish/Close.
Depending on the settings you have chosen, you complete end and/or close the inventory:
- Select the chosen option.
- Select Validate.
Closing the inventory is very important. It is at the time of closing that the application makes all the corrections to your stock. The movements appear, under the name "inventory adjustment", in the detail of stock movements.
