Overview: Creating the exact appraisal type you need means you can set more focused questions, action plans, and goals. You can also create an individual style by incorporating images and videos into your appraisal, making the content more engaging and personal to the learner. Appraisals can also be tailored to meet different sign off criteria and contain an action plan to make sure that the agreed goals are achieved.

Note: Some companies choose to rename 'appraisals' to something that works better for their company. If Appraisals is part of your package and you are having trouble locating it on your system, please get in touch with us.

Start from: The Flow Learning Dashboard.

Adding appraisals

  • Select Learning & Development > L&D Settings from the main menu.
  • Find Appraisals on the Configure screen.
  • Select View  to open the Appraisals settings page.

  • Select Add  to start creating a new appraisal.

Appraisal settings

The Create Appraisal page will open in Step 1 - Details.

  • Enter the title of your appraisal in the Appraisal name text box.
  • Select Upload Guidance Document  to upload a document to add guidelines for your appraisal. Once added the document name and size will appear in bold with an option to delete. Max file size: 1MB. Supported file extensions: pdf, csv, xls, xlsx, doc, docx, rtf, png, jpg, jpeg.
  • Select Upload Thumbnail  to upload an image for your appraisal. This image will appear in Mapal One to represent this appraisal for learners. You will be prompted to choose an image from your files, then use the tools to crop or zoom in or out of the image. Max file size: 2MB. Supported file extensions: png, jpg, jpeg.
  • Select the Enabled toggle to make the appraisal visible to select on the system. If an appraisal is not enabled, it can't be selected when assigning new appraisals to learners.

Note: When working on an unfinished new appraisal type, or when you don’t want this appraisal type to be visible on the system, leave this toggle switched off. Appraisals must be enabled before they can be used when assigning new appraisals to learners.

  • Select the Include Goal? if you want to include goals for this appraisal.

Note: If enabled, managers will be able to set goals for learners directly from the appraisal. See Understanding goals article (coming soon) for more information.

  • Select the Include Action Plan toggle if you want to include an action plan for this appraisal.

Note: Action plan fields allow for feedback after the appraisal has been signed off. These fields can be issued to the trainee, the reviewer, or both. See Understanding Action plan settings for more information.

If you have previously set a Company Rating Scale, the following checkboxes will be visible:

  • Check Learner Average Rating Calculation to activate an average rating calculation for a learner.
  • Check Reviewer Average Rating Calculation to activate an average rating calculation for a reviewer.

You can select the learner, reviewer, or both, depending on what rating calculations you’d like to be visible. The calculations will appear at the bottom of the appraisal to show the reviewer an overall score. This function is particularly useful when companies have a fairly complex rating system.

Note: You must have a Company Rating Scale set up to use these options. See Use the Company Rating Scale to find out more about this functionality and how it affects your appraisal. If you are unsure if your company has the Company Rating Scale enabled and you are having trouble locating it on your system, please get in touch with us.

Sign off settings

Sign off settings let you control when the reviewer and learner will see each other’s responses. These settings also determine at which point the reviewer can mark the appraisal as complete. See Understanding appraisal sign off settings to find out more about this functionality and how it affects your appraisal.

Save settings

When you have finished creating Step 1 of your appraisal:

  • Select Save to save your changes. A pop up will ask you if you are sure you want to save.

Note: The Appraisal name and Sign off settings must be set before the appraisal can be saved. If you leave the form at any stage without selecting Save, any changes you have made will be lost.

  • Select Preview  to review your edits. A Mapal One preview tab will open showing the appraisal as a learner would view it. You must be signed in to the Mapal One learners portal in order to see the preview.

Once you have completed the Step 1 - Details page you can move to Step 2 - Questions. See Understanding appraisal questions to find out more about how to complete the next section of your appraisal.
